Does it really? Innovating expense reporting system seems to enjoy less priority in many organizations. While invoicing has already been digitized in many organizations, employees are still walking around the building to print the form, get approval and bring their expenses to the finance department. Expense management might feel as a smaller part of the job to be done at finance departments but with the right expense software, it is very easy for your company to cut costs. Right now, you’re probably thinking: ‘Software costs money. How can I save money by buying software to replace an already free process?’ Cut hidden costs Research by the Aberdeen Group has shown that the costs of processing one expense report can be reduced by 65% with a mobile expense management application. The costs of one expense reports on paper are $23. These costs are the hidden costs, based on the time employees, managers and finance spent on processing it. However, the hidden costs of an online expense report are only $5. Firstly, time saved on expense report creation is (27%). Next, the expense approval time is reduced (28%). But most time is saved at the finance department. Companies that use cloud-based expense management, experience 50% lower expense-processing costs than companies not leveraging cloud-based expense management solutions. Because the expense reports are received digitally instead of on paper, there is no need for finance to copy the data into the accounting software. After approval, simply click on the export button. In general, expense reporting tools should integrate with every ERP.

Online expense reporting: What, how and why?

The problem Are you responsible for expense management in your organisation? It is very likely that you get frustrated by the process from time to time. Probably you still use the traditional process paper forms with stapled receipts travelling from employees to managers to finance. Or you ask employees to scan receipts and add them to Excel forms. All this takes a lot of time employees would rather spend otherwise. Receipts get lost, getting the expenses from employees to finance takes a long time, and copying expenses into your accounting software is not an intellectually satisfying task. At the same time, it doesn’t even provide you with all the information and insights you need for good supervision and control.

New! Set up business rules to ensure expense policy compliance

Good expense management starts with a solid business expense policy. However, it is a real challenge to make sure that everyone knows the rules and sticks to them. Luckily, SRXP is here to help you out with this problem. Today we have released a new feature we call 'Business rules'. On this new admin page you can add different types of policy rules you want to apply. Here we will shortly explain the different kinds of rules.

SRXP now automatically creates your credit card statements

As you might know, we have released a credit card integration with all major credit card issuers a few months ago. Thanks to this integration, all expenses paid for with a corporate credit card automatically appear in the SRXP portal. The expense reporter uses the expenses app to capture receipts of the expenses right after receiving them. That way the expenses are securely stored in the digital expenses inbox. Next, the employee match the receipts to expenses in the online portal. Together with our partners American Express and International Card Services, we have now improved this feature even more. Starting now,  SRXP also creates the credit card statements for the user.

Keep it simple: Why we believe in modular business software

As you know, SRXP focusses individually on expense reporting, this has worked out quite well for us. Specialising in some sort of business software has worked out for several other companies, for example by solely developing hour-registering software or invoicing. Often we are asked whether we can also do invoicing. We could quite easily expand our product with an invoicing tool, but we won't. We choose to specialise in expense reporting, so we have full focus on innovating this particular business process.
